Presentation

Assigning rights to users consists in assigning a profile to a user in a context.

A profile is a set of rights.

Right profiles can be created in several places:

  • From the back-office admin(users, groups and site rights tab): manage profiles shared by all sites.
    These are called " Shared profiles ".
  • From the CMS back-office(users, groups and site rights tab): allows you to manage site-specific rights.
    These are referred to as " Site Profiles".

All available context rights are located in the Users, groups and rights tab and the Profile assignment button. 

The profile assignment tool consists of two parts: 

  • left (purple square on diagram): list of contexts
  • on the right (orange square on the diagram) the list of rights profiles, which is updated according to the selected context. 

Steps for assigning a rights context

Two types of rights contexts exist and are presented below: 

  • general: rights will be assigned to the entire context. 
  • using a search: in this type of context, it is possible to assign rights to specific content. A search box is therefore provided to help you find this specific content. 

How to affect a general rights context? 

  1. Select a general legal context from the drop-down list, e.g. General Context.
  2. Click on Add users or Add groups and select one or more users or groups.

  3. Check the rights profile you wish to assign to the user or group.

  4. Save assignment

 

How do you assign a rights context using a search

In the"Site contents","Training offer" and"Reference tables" contexts, you can assign the context :

  • on all content: In this case, tick the All content box and follow steps 2,3,4 of the above handling of general contexts.
  • or just one using the search engine. 

Follow this procedure to target specific content:

  1. Select a rights context from the drop-down list, e.g. Training offer
  2. Check "Search for a training element" or "Search for a contact": search box '3' is updated
  3. Enter search criteria
  4. Click on the Search button.
    When you modify the search criteria, click on the search again to update the results.
  5. In the search results, select your content or contact 
  6. Click on Add users or Add groups and select the user(s) or group(s).

  7. Check the right profile you want to assign to the user or group.

  8. Save assignment

The Site contents context concerns the rights :

Page or heading assignment

Select a page in the sitemap and follow steps 2,3,4 in How do I assign a general rights context?

When you assign rights to a page with subpages.
Rights are assigned to subpages by inheritance.

Resource context

The resource context concerns rights relating to the resource explorer, for example: create, delete, rename a folder or file...

When you grant rights to a folder with subfolders.

Rights are assigned to subfolders by inheritance.

Background Reference tables

The reference table context concerns rights : 

  • on a particular reference table (by checking the "Choose a reference table" box, and selecting the reference table in the tree that appears). Please refer to How to assign a general rights context? for details of profile assignment. 

When you grant rights to a reference table with subtables.
Rights are assigned to subtables by inheritance.

Context Content types

This context allows you to apply rights to one or more types of content.
